1. Purpose
SeafarerKit helps organise contracts, documents, financial entries and work/rest records. It is a recordkeeping and calculation tool, not a replacement for an employment agreement, official payroll, approved shipboard procedures or instructions from the master, company, flag administration or another competent authority.
2. Work and rest entries
Results depend on the periods, dates, vessel-time settings and other information entered by the user. Once work is entered, rest is derived from the remaining time according to that day's entries. This is a calculation from your records, not a measurement or confirmation of actual rest.
Record overtime as work. It counts towards working time and reduces derived rest. Correct any interruption, additional duty or other event that changes the actual work/rest pattern. A “No work / full day rest” entry should describe a real day off, not be used to fill unknown time.
3. Rules, warnings and incomplete information
The application checks supported baseline work/rest rules against available records. Applicable requirements may differ because of flag-state law, collective agreements, permitted exceptions, emergency duties or vessel-specific procedures. Not every exception or official approval process is modelled by the application.
A warning identifies an issue within the supported checks; it is not a ruling by an authority. An absence of warnings does not establish full compliance, particularly where data is incomplete or an applicable requirement is unsupported. Unknown time must not be treated as verified rest or verified compliance.
A green calendar day indicates a completed entry without detected issues. It is not legal certification. A completed future plan may also be green and remains a plan, not evidence of work or rest already performed.
4. Plans, dates and vessel time
Review future schedules, copied days and templates against actual events. Selecting or repeating a schedule does not attest that it occurred. Do not present forecast checks as actual history.
Use the correct vessel time and review records around clock changes, time-zone changes, joining/sign-off and date boundaries. Changes in dates or time settings can affect the intervals checked and the totals reported.
5. Reports, signatures and official acceptance
PDFs reflect the records and settings used at generation. An exported report does not necessarily update when its source records later change; generate a new report where needed.
A generated PDF, typed name, completed calendar or application lock does not by itself constitute an approved electronic signature or approval by an employer, flag administration, classification society or port State.
Before using the application as an official shipboard journal, confirm the required system approval, format, signatures, review, correction and retention arrangements with the responsible authority or employer. A PDF export alone does not establish flag-state acceptance.
6. Salary calculations
Financial results are estimates based on entered salary rates, dates, calculation basis and transactions. Review the selected method against the employment agreement and payslip.
For a daily rate, accrual uses the entered daily amount for the counted days. For a monthly rate, the selected basis can divide that amount by 30 or by the actual number of calendar days in the relevant month. The methods can produce different results in months of different lengths; do not assume an employer-specific adjustment or monthly cap unless it is actually part of the selected calculation.
Pay-start dates, inclusion of the first and last days, rate changes, contract ending/closing dates and rounding affect results. Salary components describe the entered breakdown; check that the full salary and components are consistent rather than treating the breakdown as an additional payment automatically.
7. Expenses, payments and currencies
Entered transactions affect the relevant balance according to their type and funding source. A purchase deducted from salary must be distinguished from a personal payment already made outside that salary balance. Correct amounts, dates, currencies and classifications are essential to avoid double counting.
Recorded cash advances and payments represent information entered by the user; the application does not obtain a live bank balance or confirm that money was received. Exchange-rate conversions use the rates entered or selected in the application, not a guaranteed live market rate.
SeafarerKit does not execute payments, transfer money, order Bond Store goods or provide banking, tax or investment advice. Reconcile records with the employer's actual statements.
8. Documents and reminders
Expiry dates and reminders depend on user-entered information. The application does not verify a certificate's authenticity, legal validity or acceptance for a voyage.
Notifications can be delayed or prevented by permissions, battery restrictions, operating-system limits, clock settings or other technical conditions. A reminder is an aid, not a guarantee that a deadline will be met. Independently check important document and contract dates.
9. Backups and sharing
Create and verify backups regularly, especially before replacing a device, reinstalling or deleting data. Keep the backup and password secure; the developer does not hold a recovery copy of your journal or password.
Reports and files shared outside the application may contain personal or crew information and are no longer controlled by local SeafarerKit deletion actions. Check the file, recipient and permission to disclose it.
10. Reporting a problem
If a calculation, warning or report appears wrong, preserve the relevant records and contact support@msdmarine.com. Provide the inputs, selected settings, expected and actual results, platform and application version. Redact unnecessary personal or crew information. Do not send passwords.
